Region V Regional Meet Reminders and
Criteria

1. Need one table per judge to allow
separation of judgments. The meet referee will bring the start values.
Judges need to be SERERATED with a separate table for each for a different
point of view.
2. Allow
three and half minutes per gymnast for touch warm – up, conferences,
presentation for Levels 9 and 10 with 4 judge panels.
3. Judges and
coaches should not approach each other for casual conversations at
anytime.
4.
Random draw needs to
have a written certification by a judge or coach that’s not affiliated
with the host club and it must be submitted to the RTCC and the RCC.
Read Rules and Policies to be sure that teams are drawn for each flight,
flight, and session.
5.
Judges should not be
traveling with coaches to and from the competition. For professional
reasons, a division of judges and coaches needs to be enforced.
6.
At Regional Level 8, the
meet director can give additional awards at the meet directions expense.
7.
The Region V Board policy
on driving versus flying needs to be followed. Any judge traveling
over five hours can fly to the competition site.
8.
There needs to be chairs
for gymnast and coaches to sit at each event for rest, safety, and
traffic control. This needs to be followed for safety and organizational
reasons.
9.
Computer scoring needs
to come out by gymnast numbers or score ranking. All score averages need
to be double-checked by an event scorer or head scoring table plus the
computer will check the averages. Head judges will put an average in a
circle on the judge number one sheet. This should be double checked by the
event scorer and the computer. This is a triple check for accuracy.
10.
Coaches need to be clear with
agreement of block versus individual warm-up time prior to
competition. All coaches must agree if they decide to block the warm-up
time. To correctly estimate the times for the meet, traditional warm up
is one and half minutes while non-traditional is 2 minutes. Check Rules
and Policies as new meet formats have made some changes in this area.

Judges will need a
forty-minute break following 3-4 hours of judging. Check Rules and
Policies for details.
12.
Each head judge needs an
adult event scorer to record scores and start values. The meet referee
will provide the sheet to record score and start value. The meet referee
will provide the sheet to help lower the number of inquiries.
13.
Meet directors need to allow
ten minutes per flight for march in and march out.
14.
Regional meet directors need
to keep two folders of results for the Regional Technical Chair and
Junior Olympic Program Chair. These need to be overnight mailed to the
above chair if they are not present at the meet. Electronic methods are
now being used to send the results to the National Junior Olympic Manager.
State meet directors need to mail results to the RTC, SC, etc. according
to Rules and Policies.
15.
Athletic Trainers need
to stay from the warm-ups through the last competitor due to liability.
16.
The RJD will inform the
Regional judges with a complete list of judging panels and report time,
which is one hour prior to march-in two weeks prior to Regionals. This
will assist in car-pooling and judges preparation for the meet. The meet
director will send hotel and map information to the judges along with the
first day meet start time for the competition.
17.
Double-Checking Scores-
Level 8,9,and 10 Regionals-All 2 or 4 scores should be entered into the
computer, which will average the middle two scores for a double check.
18.
Rotation Sheets – Each
judge needs to have a rotation sheet placed on their table at the start of
each session for accurate numbers on each judge’s sheet.
19.
Scratches- The meet
director needs to ask at each coaches meeting for any scratches in
each session. This should be crosschecked with the athlete check- in
system so all scratches are done on the judges sheet. Since judges no
longer check scores at the end of the meet, this will aid in the correct
numbers on the judges’ sheets. Assign this task to one individual who
can do this for each and every session. Updated rotation sheets need to be
given to each judge and the coaches need to be updated for the proper
order for everyone on each event and at each session.
20.
Boards- Have one coach
or parent volunteer mark the boards at check-in or following the coaches
meeting. Mark with a piece of masking tape that can be visible, as the
board lies flat for all coaches to see. Mark the board with the flight
number or letter and indicate which event the board belongs on. The board
can only be used on one event and can be used in the warm-up gym and
competition gym.
21.
Website- The computer
program must be capable of having the results put onto the Region V

Coaches Reminder-
Coaches need to be reminded in writing in the pre-meet information to
double-check their athletes age and session for accuracy. Coaches will
need to know if we have 2 sets of judges judging two different age
groups(Level 8 mostly) that they will need to bring enough coaches to
accommodate their gymnasts without holding up the meet format to be with
their gymnast. The meet director needs to set up a coaches check- in
where coaches must present their USAG Membership card and are expected to
wear it for the entire meet per USAG.
23.
Level 8 Regionals-Age
groups are broken down as single ages and awards are to be presented to
the top 30% per age group. Small age groups maybe combined. Multiple
sessions per age group should be avoided when possible. Two judge panels
need to be used with a $60 entry fee. We did allow this entry fee to stand
for 2003, 2004, and 2005 with two judge panels. All awards distributed at
Level 8 Regionals need to be medals with a choice of companies to purchase
these from due to finding the best price and quality. At our June 2003
Regional Board Meeting, the
following items are taken from our minutes to be sure that they are
followed as agreed upon by the Board. 1) The Level 8 Regional Meet
Director will e-mail Norbert Bendixen the final list of registered
qualifiers and birthdays. Norbert will determine age groups with the
Region V Board approval and then e-mail this information to each State
Chair and Committee Person, the Regional Board Members, and the Regional
Meet Director. 2) Each State Chair and/or designated State
Committee Member is responsible to determine their State Team per age
group and reporting results to the Regional Meet Director. 3) Each State
Team will be composed of seven gymnasts per age group. A deadline
for replacing gymnasts on the state teams is ten days prior to the first
day of the competition. 4) Four scores per event will be calculated to
determine team scores. Regional Qualifying Scores are Level 8
34.50 ; Level 9 and 10 is 34.0 per our Regional Board Meeting -2003.
24.
Practice Judging-
Practice judging will not be allowed at any Regional due to the space on
the floor which is limited and the high level of importance for these
meets to the gymnasts and the coaches.
25.
State Board Recommendation-The
Regional Board strongly recommends that each State Meet honor the
three-week deadline prior to Level 8,9,10 Regionals. This time is needed
for the Regional Meet Director to get information to the teams for flight
information as well as judging flights at a reasonable cost.
26.
Warm-up Rules- One and
half minutes for traditional format and two minutes for non-traditional
perJr. Olympic Minutes of May 8,2000-When using a modified Capital Cup
format (one gym, one set of apparatus, with warm-ups immediately preceding
competition on each event), the timed warm-ups are to be based on one and
half minutes per gymnast. Clarification: In this modified Capitol Cup
format, with the warm-up immediately prior to the competition on each
event, the warm-up is considered “timed warm-ups”. Therefore, teams and/or
individual gymnasts may block their time. Please see the current Rules
and Policies as this has been modified for the current season.
27. A TV and
VCR are needed for the judges meeting for an hour at the first judges
meeting
of the competition.
28. A copy
machine needs to be available for the 8 or 16 copies of the corrected rot-
ation
sheets for the judges and coaches, for copies of the final results for the
RTC, JO,
and RC to take with them following the meet.
29. Gymnasts
need to have their number visible to the judges with the number on
their
hand , on their back, or a card to be propped up for the correct number to
be
visible for all the judges to see.
30. A back up
audio system should be present in case of malfunctioning with the
meet
system. A cd and cassette are both needed.
31. Judges
should be allowed and offered to have drinks on the floor if at all
possible.
A great idea is for each judge to have a green cup to indicate Go – a
drink is
desired and a red cup which indicates that no drink is necessary. This
was used
at a National Meet and is a good idea if possible.
32. Identify
rotation sheets with flights 1 and 2,etc along with age divisions for
Juniors
and Seniors if possible.
34. The
flashers for average scores at the Head Judge’s table must go up and turn
easily
to identify the final score. Each judge needs their own flashing unit as
well
as with
open scoring, the coaches should be able to identify each judges score.
If
electronic scoring is used, all individual judges scores must be flashed
in add-
ition to
the average score.
35. Train the
flashers to wait until all of the scores have gone to the head judge.
When
the Head Judge scoring unit turns, then all of the other flashers should
turn
their scores two times slowly. We want all scores to go up at the same
time
for
true independent scoring. Each flasher should put the score up on the
flasher
as soon as the judge is done and put their hand on the unit with the
score
facing away from them until the head judges flasher turns her unit and
then they
all turn at the same time. Each judge will be responsible to explain this
the
flasher, but the meet director should also explain this to them. We need
adult
or older
teens, not children ,to be able to handle this task. Each judge will put
up
her own SV
Flasher when all scores have gone into the head judge. The RTC will
provide the
SV Flashers by bringing these to the meet. The meet director still
needs to
provide the flashing units for scores for each judge.
36.
Level Eight Meet Director
Reminders-1) Give a “ SUPER STATE RECOGNITON ” with a first place team
plaque presented by assigning points for placement with the following
format: first- 5 Points, second-4 Points, third- 3 Points, fourth- 2
Points, and fifth- 1 Point. 2) Announce after each rotation and/ or at
the start of each rotation, the state points for excitement and team
building within the States. 3) For the March-in, it’s a great idea to have
state signs to march in the teams. It is nice to have the leader with the
state signs to hold the signs up until everyone is marched out and then
all sign holders should rotate to the back of the line so the parents can
see all the gymnasts with the state sign behind them. ( Thank you to Keith

37.
Level Eight Regionals is to be
traditional format with seven gymnasts per squad
with
four scores counting. If a state cannot field a seven person team (four
scores
count), the All Stars will be assigned in rank order and may contribute
toward
team score. The entry fee is based on using a traditional format and
will
not be raised to accommodate a capital cup format. A meet director may
have
the option to use a capital cup format at their expense. First place team
will

38.
Level Ten Meet Director must
provide time, space, and personnel for the apparel
fitting. Time required is one hour prior to awards and one and half hour
after
awards.
